Job Overview
We are seeking a detail-oriented and proactive Sales Support Specialist to assist our sales and business development teams in managing leads, maintaining CRM records, and supporting the overall sales process.
In this role, you will not be directly closing sales, but you will play a critical part in ensuring the sales pipeline runs smoothly, leads are properly tracked, and clients receive timely follow-ups and accurate information.
The ideal candidate is organized, communicative, and comfortable working with CRM systems, spreadsheets, and client communication tools. You should be able to support fast-moving sales teams while maintaining accuracy and professionalism.
As a Sales Support Specialist, you will help improve sales efficiency, lead conversion tracking, and overall customer experience throughout the sales journey.
Key Responsibilities
Sales Administrative Support
- Assist the sales team with day-to-day administrative and operational tasks.
- Update and maintain accurate records of leads, prospects, and customers in the CRM system.
- Organize sales pipelines and ensure all leads are properly categorized and tracked.
- Prepare sales reports, summaries, and performance updates for management.
Lead Management & Follow-ups
- Monitor incoming leads from websites, ads, email campaigns, or referrals.
- Assign and distribute leads to sales representatives as needed.
- Follow up with prospects via email or chat under sales team guidance.
- Ensure no leads are missed or left unattended in the pipeline.
Customer & Client Communication Support
- Assist in responding to basic client inquiries regarding products or services.
- Provide product information, pricing details, and general service explanations.
- Coordinate meeting schedules between sales representatives and clients.
- Send reminders, confirmations, and follow-up messages.
CRM & Data Management
- Maintain accurate and updated data in CRM platforms.
- Track customer interactions, sales stages, and deal progress.
- Clean and organize CRM records to avoid duplicates or outdated entries.
- Generate pipeline reports and performance tracking data.
Sales Coordination
- Support preparation of proposals, quotations, and sales presentations.
- Work closely with sales representatives to ensure smooth deal progression.
- Assist in coordinating internal approvals or documentation needed for deals.
- Help track sales targets, quotas, and team performance metrics.
Reporting & Documentation
- Prepare daily, weekly, or monthly sales reports.
- Monitor key sales indicators such as lead response time and conversion rates.
- Document sales processes and assist in improving workflow efficiency.
- Identify gaps in lead follow-up or CRM usage and report issues.
Requirements
Technical Requirements
- Laptop or desktop computer with updated operating system.
- Stable high-speed internet connection (minimum 25 Mbps recommended).
- Backup internet connection or power source preferred.
- Quiet and organized home workspace.
